Customer Service and Maintenance Contract Administrator, All HVAC Service in BKLYN What's the role? The Maintenance Contract Administrator role is a central person for our customers. You act as an initial point of contact for potential customers inquiring about All HVAC services. You promote the company and sells service contracts to new customers and arranges for service calls with technicians in the field. You are responsible for billing and collections and follow up with customers to set up regular maintenance appointments. It is a fantastic role for someone who is naturally dynamic, driven, hyper-organized, detail-oriented, and interested in doing administrative and people-centered work with an environment of support, opportunity, and growth. The role works with our residential and corporate clients including our high-profile clients. You will be coordinating and scheduling maintenance and at times repair activities, dispatching technicians, as well as writing proposals, and expediting the purchasing process. This is an in-person, full-time position. Salary range is $49k-$95k annually, commensurate with experience. Applicants must be available during regular business hours on Monday-Fridays as well as some weekend work during high season. Who are we? What are the priorities? In addition to day-to-day tasks, the responsibilities of the role centers around: Customer Relations Respond to customer inquiries Help customers define the problem over the phone by asking probing questions leading to a resolution. Schedule maintenance inspections out to 30 days dynamically coordinating service and schedules. Service Contract Sales and Maintenance Agreements. Consult with customers regarding their needs and help them buy a service contract to maintain system. Proactively work with our large customer base to set up preventative maintenance appointments. Billing and Collections You will own all billing and collections for service contract customers. Prepare and send invoices to customers and follow up for payments Understand and communicate client fees to assist customers in understanding work performed and minimize disputes. Negotiate payments for outstanding amounts Reporting and Administration Setup new accounts that you sell a service contract to create and review customer reports and address discrepancies Maintain a detailed list of contract clients supplies such as filters and belts plus bill accordingly.
