The purpose of this class is to provide lead accounting support for the College's fixed asset inventory, including internal auditing, financial reporting, and account reconciliation, in accordance with Generally Accepted Accounting Principles and federal, state and local guidelines. The position is also responsible for proper labeling, addition and disposal of the college's assets.

Bachelor's degree and two (2) years related experience, knowledge and experience using Microsoft Office applications and financial management systems. Two (2) years of experience in fixed asset, general ledger accounting preferred.

  1. Create and monitor a system of controls, procedures, and forms for the recordation of fixed assets.
  2. Maintain all tables and data in the Banner fixed asset system.
  3. Maintain the record keeping for all fixed assets removed from service and written off by the College.
  4. Prepare monthly and annual year end reporting for fixed assets.
  5. Prepare audit schedules relating to fixed assets and assist the auditors with their inquiries.
  6. Maintain vehicle fleet records for the college and Baltimore County (e.g., registrations, titles and reporting requirements).
  7. Calculate and maintain depreciation schedules and analyze variances.
  8. Verify and process invoices accompanied by valid purchase orders.
  9. Maintain and view the Accounts Payable email address site for invoices and inquiries.
  10. Assist with the department year-end close.

  1. Recommend improvements to the CCBC fixed asset policy.
  2. Test all IT upgrades to the fixed asset module when needed.
  3. Run and update all data extracted from the Accounts Payable system for update to the fixed asset module.
  4. Maintain the creation and assignment of all origination tags to new assets.
  5. Maintain and ensure that all physical permanent tags are placed on new assets college wide.
  6. Perform a monthly reconciliation of the fixed asset system additions to the appropriate accounts on the general ledger (making any necessary adjustments via journal entry).
  7. Review and record all proposed disposals for appropriate write off status.
  8. Run the depreciation process at year-end for all fixed assets and reconcile to the general ledger.
  9. Prepare and assist the Director with the preparation of fixed asset schedules required for the fiscal year audit.
  10. Perform periodic inventory audits at the campuses and extension centers.
  11. Initiate the process of having an external vendor perform a physical inventory of the college's asset and reconcile their findings to the general ledger.
  12. Maintain and prepare the annual MSDE Inventory report that is submitted to the State annually.
  13. Process a high volume of data for payment of invoices, check requests and expense reimbursements for the entire college.
  14. Verify and process check requests.
  15. Research problems and communicate with vendors and the college community to resolve issues.
  16. Review and reconcile vendor invoices to statements and purchase orders.
  17. Responsible to retrieving W-9 forms from new vendors or when adjustments are to be made.
  18. Backup to processing and printing checks/direct deposit payments; for the finance department when the Director or AP Analyst are not available.
  19. Initiate and complete the vendor ACH verification so that new vendors can be added to the ACH payment processes.
